Cadmus Distribution Group Ltd trading as VoIPon Solutions (“us, “we”) are a voice over IP telecommunications technology hardware distributor/ service provider based in the United Kingdom. We take your privacy seriously. This Privacy Policy explains what personal information we collect from you when using our website, the VoIPon Talk service, and when dealing with VoIPon Solutions; as well as how we use this data and how we ensure that your data is kept private.

The personal data types we collect and store (depending on what you provide), is:

  • “Account data” – This may include name, email address, phone number and street address.
  • “Enquiry data” – this may include information about your particular enquiry with us and the products/services associated with it.
  • “Customer Relationship data” – this includes information about our relationship, and may include communications between us and you. This is used to ensure we can provide the best service for you. This is provided by you when communicating via email, our ticket system, or other communications.
  • “Transactional data” – this includes information about purchases of goods and services, that you enter into with us and/or through our website. This includes specific transaction data, address information, payment information, and IP address (when ordered online). We do not store card payment details, card payments are processed using SagePay for customer security and PCI DSS compliance.
  • “Service data” – your activity on the VoIPon Talk service, such as call history data, device authentication, etc.

The personal data we collect is used for the following purposes:

  • Fulfilling sales, service or support contract requirement
  • Handling sales/service enquiries
  • Enabling us to better run our website and services
  • Run anti-fraud checks (non-sensitive payment information and IP address)
  • Marketing relevant product & industry news (only when consent is provided)

Our legal basis for processing personal data:

  • Contract, or in order to take steps at your request prior to entering into a contract
  • Consent – For example when you provide consent for us to contact you with direct marketing
  • For our legitimate interests (where described in this policy) and where your interests and fundamental rights do not override these interests.

When you provide us with personal information to complete a transaction, arrange for a delivery or return a purchase, create an account, make an enquiry, or otherwise provide your data to us for a purpose, we imply that you consent to this privacy notice and are giving us permission to process your personal data specifically for the purposes identified.

3.3 Disclosure

We may pass your personal data on to third-party service providers contracted to Cadmus Distribution Group Limited in the course of dealing with you. Any third parties that we may share your data with are obliged to keep your details securely, and to use them only to fulfil the required service (e.g. a courier company for the delivery of goods to you).

3.4 Retention period

Cadmus Distribution Group Limited will process personal data only for as long as necessary for the purpose or purposes the data was collected.
We retain your personal data for a period of upto 7 years after the purchase and/or contract ends, this is required for tax records. Upon request, we can delete any data that is not required for tax records.
When you create an account with us, or otherwise provide us with your personal data, we will keep hold of the information for a period of upto two years. You can ask us to remove this data at any time using the contact details within this policy.

3.5 Your rights as a data subject

At any point while we are in possession of or processing your personal data, you, the data subject, have the following rights:

  • Right of access – you have the right to request a copy of the information that we hold about you.
  • Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
  • Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records.

  • Right of portability – you have the right to have the data we hold about you transferred to another organisation.
  • Right to object – you have the right to object to certain types of processing such as direct marketing.
  • Right to object to automated processing, including profiling – you also have the right to be subject to the legal effects of automated processing or profiling.
  • Right to judicial review: in the event that Cadmus Distribution Group Limited refuses your request under rights of access, we will provide you with a reason as to why. You have the right to complain as outlined in clause 3.6 below.

All of the above requests will be forwarded on should there be a third party involved (as stated in 3.3 above) in the processing of your personal data.

In addition, you may encounter third party applications that interact with the VoIPon Talk service.

    • device IDs or other unique identifiers; device and software characteristics (such as type and configuration), connection information, statistics on page views, referral URLs, IP address (which may tell us your general location), browser and standard web server log information;
    • information collected via the use of cookies, web beacons and other technologies, including ad data (such as information on the availability and delivery of ads, the site URL, as well as the date and time).
  • Information from other sources: We might supplement the information described above with information we obtain from other sources, including from both online and offline data providers.   • Protection of VoIPon Talk and others: VoIPon Talk and its Service Providers may disclose and otherwise use your personal and other information where we or they reasonably believe such disclosure is needed to (a) satisfy any applicable law, regulation, legal process, or governmental request, (b) enforce applicable terms of use, including investigation of potential violations thereof, (c) detect, prevent, or otherwise address illegal or suspected illegal activities (including payment fraud), security or technical issues, or (d) protect against harm to the rights, property or safety of VoIPon Talk, its employees, users or the public, as required or permitted by law.
  • Business transfers: In connection with any reorganization, restructuring, merger or sale, or other transfer of assets, we will transfer information, including personal information, provided that the receiving party agrees to respect your personal information in a manner that is consistent with our Privacy Statement.

Whenever in the course of sharing information we transfer personal information to countries outside of the European Economic Area and other regions with comprehensive data protection laws, we will ensure that the information is transferred in accordance with this Privacy Statement and as permitted by the applicable laws on data protection.

You may also choose to disclose your information in the following ways:

  • While using the VoIPon Talk service you will have opportunities to post reviews or other information publicly, and third parties could use the information you disclose;
  • Certain portions of our service may contain a tool which gives you the option to share information by email, text message and social or other sharing applications, using the clients and applications on your smart device;
  • Social plugins (including those offered by Facebook, Twitter, Pinterest, and Google) allow you to share information on those platforms.
  • Social plugins and social applications are operated by the social network themselves, and are subject to their terms of use and privacy policies.

Access to Your Account and Profiles

In order to provide you with ease of access to your account and to help administer the VoIPon Talk service, we may use technology that enables us to recognize you as the account holder and provide you with direct access to your account without requiring you to retype any password or other user identification when you revisit the VoIPon Talk service. You can choose not to take advantage of this feature on your computer by unchecking the box “Keep me logged in” when you log in to the website. We only show this when we are enabling this technology.

To remove access to your VoIPon Talk account from devices you have allowed to stay logged in: (a) visit “Your Account”, choose “Log out of all devices,” and follow the instructions to deactivate your devices (note, deactivation may not occur immediately) or (b) delete your VoIPon Talk settings from your device (steps vary by device and the option is not available on all devices). Where possible, users of public or shared devices should log out at the completion of each visit. If you sell or return a computer or VoIPon Talk ready device, you should log out and deactivate the device before doing so. If you do not maintain the security of your password or device, or fail to log out or deactivate your device, subsequent users may be able to access your account, including your personal information.

If you share or otherwise allow others to have access to your account, they will be able to see your information (including in some cases personal information) such as your call history, ratings, reviews and account information (including your email address or other information in Your Account). This remains true even if you use our Members feature. Members allow different users of VoIPon Talk to be granted access to your VoIPon Talk service.

Your Choices

If you no longer want to receive certain communications from us via email or text message, simply access the “Preferences” settings page in the “Your Account” section of our website and uncheck those items to unsubscribe. Alternatively, click the “unsubscribe” link in the email or reply STOP (or as otherwise instructed) to the text message. Please note that you cannot unsubscribe from certain email correspondence from us, such as messages relating to your account transactions.

Your Information and Rights

You can request access to your personal information, or correct or update out-of-date or inaccurate personal information we hold about you.

Security

We use reasonable administrative, logical, physical and managerial measures to safeguard your personal information against loss, theft and unauthorized access, use and modification.
